  • 建立電郵活動 Create Campaign

    1. At Dashboard, by pressing the “Create Campaign” button, you may start to create your email campaign. 
    2. At Email Campaign Panel, you may press "New" button for creating a new campaign.
    3. "Sender Name" and "Sender Email" are fields linked to User Account. If you would like to change it, you may set it at "User Account". Please note that the domain of "sender email" should be aligned with your bounce back email setting.
    4. If you have any internal note, please include it in "internal remark".
    5. "Subject" refers to the EDM subject

    Tips: You don't need to rush to decide on the email campaign information; you can still edit it after creating the email campaign!

    Introduction

    You can use the drag-and-drop editor, which is divided into "Templates," "Emails," "Block Groups," and "Content".

     

    Templates: Displays the email templates you have previously selected.
    Blocks: Provides default element content from IGEARS, allowing you to quickly build the email content you need.
    Content: Editable elements within the email campaign.
    Body: Controls the overall basic hierarchical styles (CSS) of the email campaign.

    Content / Element

    You can use the Drag and Drop Editor to design your perfect template. Simply drag and drop the elements you want to create your layout!

     

    Available Elements:

    • Column: Split a row into 12 columns for optimal layout.
    • Heading: Choose from 4 types of headings, customizable in font size, color, text alignment, and more.
    • Text: A text area for entering your content.
    • Image: Upload and configure your images.
    • Button: An element that allows users to click and be redirected to a website or URL.
    • Divider: A horizontal line to separate elements.
    • HTML: Add custom HTML code.
    • Spacing: Adjust the space between elements.

    Tips: You may edit the properties once you drag a new element in the eDM.

    Body

    You can control the overall styles of your email campaign using CSS, including text color, image URLs, links, and email settings.

    When designing your interface, you can adjust the properties of columns to enhance their appearance and readability.

    • Background Colour: Click the colour picker and choose your desired colour.
    • Padding: Set the desired values between the content inside the column. You may also click ‘More option’ to set the desired values for top, bottom, left, and right padding separately.
    • Border: Set the border colour and width to the column for enhanced visibility and structure.

    Drag and Drop Editor - Elements

    Heading

    You can control the font family, size, colour, and other settings using the options on the right-hand side or through the editor.

    Text

    The text area is for inputting text. Similar to the "Heading," you can control the settings using the options on the right-hand side or through the editor.

    Image

    Choose "Image" element and configure them with the following steps:

     

    • Press ‘Upload Image’. A new window of "File Manager"
    • Click ‘Upload’ or Drag an image in "File Manager".
    • If choose "Upload", press Select ‘Add Files’ to select multiple files
    • Click ‘Start Upload’.
    • Once the upload is complete, a checkmark will appear next to the file name.
    • Click ‘Return to Files List’ and select the image you want to add.
    • You can control the image width and padding settings using the options on the right-hand side.


    You can also add an external link to the image. Simply input the URL to redirect to the designated page.

    Button

    The button is an element used to click and redirect readers to a website or URL.

    You can control the button settings using the options on the right-hand side or through the editor. An external link can be added to the button by simply inputting the URL to redirect to the designated page.

    Divider

    The divider is used to separate elements and is displayed as a straight horizontal line.

    You can choose from three types of lines: solid, dotted, and dashed. You can adjust the width and color of the line using the options on the right-hand side.

    HTML

    You can simply input HTML code to create content.

    Spacing

    Used to add spacing between elements. You can adjust the width and height using the options on the right-hand side.

    Mail Merge

    It can be used for tailor made campaigns, connects with recipients’ data, such as First Name = {namefirst}, Last Name = {namelast}. By entering these HTML codes, it will show personalized emails to your recipient. 

    You may import the CSV files into the system for these optional fields for setup personalized campaign at the later stage of the email campaign setup, and you may back to edit the campaign at a later stage.

    - 匯入

    如使用匯入,可以下載CSV範本參考所需要匯入的欄位。匯入成功後,系統會展示成功匯入的數量。

    - 從現有數據庫匯入

    如選擇「從現有數據庫匯入」,列長展示曾經匯入至系統的「收件人」。可以利用「複合查詢」加入搜尋條件,如收件人類別、名字、姓氏。

    搜尋後,可以點按:

    1. 確認新增收件人 (按搜尋結果) - 即一次性匯入經搜尋後的收件人
    2. 確認新增收件人 (按已勾選結果) - 即一次性匯入已有勾選的收件人。使用此方法可能需要跨頁面,或於「顯示」結果頁數處理。

    進階設定

    進階設定頁面設定新增/匯入收件人時候,留意以下設定:

    1. 「允許重複? 」 - 是否允許電子郵件「重複」,即有同一電郵出現在收件人管理;
    2. 「添加到主數據庫?」 - 新增/匯入收件人時候,是否允許該電子郵件加至 此平台的主數據庫 / 收件人資訊。

    ^需要在新增/匯入前設定。

    排程發送

    按發送,系統會立即發送。

    未來排程

    若需要在特定時間、長時間發送、長時間重複發送、有特定電郵活動計劃,可以透過此頁面設定。

    • 按以下時間表發送 — 建議先關閉。如開啟,即確認「未來排程設定」已完成,按下「儲存」後,便允許系統,根據你即將設定的時間發送。
    • 發送開始時間 — 如此電郵活動需要長時間自動發送,你可以設定整個電郵活動的開始發送的時間
    • 發送結束時間 — 如此電郵活動需要長時間自動發送,你可以設定整個電郵活動系統結束發送的時間。注意,若發送結束時間設定過早,系統仍在發送電郵,會有機會導致系統無法完全送出所有電郵。
    • 每日開始發送時間 — 如此電郵活動需要長時間自動發送,你可以設定每日開始發送時間。
    • 每日結束發送時間 — 如此電郵活動需要長時間自動發送,你可以設定每日結束發送時間。注意,若發送結束時間設定過早,系統仍在發送電郵,會有機會導致系統即日完全送出所有電郵。
    • 只允許星期 — 如電郵活動為長時間進行 / 重複發送,你可以允許哪一天進行發送。

    報告

    • 總結:整個電郵活動的報告總結,如開啟次數、點擊次數、退回次數。
    • 開啟率報告:整個電郵活動的開啟次數。
    • 開啟裝設報告:收件人以哪一個設備/系統開啟電郵。^
    • 點擊報告:顯示各項連結的點擊次數。
    • 原始數據(接收者):查看各項收件人接收狀況。
    • 原始數據(點擊率):查看各項收件人的點擊狀況。

    ^ 只供參考作用,電郵開啟後,部分設備及系統,或基於開啟電郵程式隱私設定,未必回報設備類型。

    Email Campaign Interface

    After setting up a basic template in the drag-and-drop editor, clicking "Manage Send Out" or "Back" will redirect you to the campaign panel. This panel is divided into four sections:

    1. Email Design/Setup: Edit campaign details, link settings, and preview.
    2. Recipient: Add recipients, manage recipients, and advanced setup.
    3. Send Schedule: Options for "Send" and "Future Schedule."
    4. Report: Reports related to open rates and click rates.

    Email Design/Setup

    Basic information

    This page allows you to set the "Sender Name," "Sender Email," "Subject," and "Internal Remars."

    Edit Campaign in Drag & Drop Editor

    This page navigates to the editor for this email campaign, where you can edit the email content.

    Link Setup

    This page displays all links associated with the email campaign. You can add internal remarks, Allow of Click Rate Statistic, and link handling as needed.

    Preview

    This page shows a preview of the email campaign.

    Recipient

    Add New Recipient

    If you want to add recipients individually, you can do so here.

    Recipient Administration

    This page displays all recipients who will receive the email campaign. You can add, delete, import, import from an existing database, and export recipients.

    - Import

    When using import, you can download a CSV template to reference the required fields for import. After a successful import, the system will display the number of successfully imported entries.

    - Add From Existing Database

    If you choose "Add from Existing Database," a long list of previously imported recipients will be displayed. You can use "Add Condition" to add search criteria, such as recipient category, first name, and last name.

    After searching, you can click:

    1. Confirm add to recipient (by list) - This allows you to bulk import the recipients found in the search after the condition.
    2. Confirm add to recipient (by checked) - This allows you to bulk import the selected recipients. This method may require cross-page handling or managing results for "pages" pagination.

    Advanced Setup

    On the advanced settings page, note the following when adding/importing recipients:

    1. 「Allow Repeat? 」 - Whether to allow email duplicates, meaning the same email appears in recipient management.
    2. 「Allow to Master Database?」 - When adding/importing recipients, whether to allow the email to be added to the platform's main database/recipient information.

    ^Note: These settings need to be configured before adding/importin of recipients.

    Send Schedule

    Broadcast Now

    Clicking send will immediately send the email.

    Future Schedule

    If you need to send at a specific time, for an extended period, or on a recurring basis, you can set this up on this page.

    • Send by following schedule — It's recommended to disable this initially. If enabled, it confirms that "Send by following schedule" are complete. After clicking "Save," the system will send according to your scheduled times.
    • Start Sending Time — If this email campaign requires prolonged automated sending, you can set the start time for sending.
    • End Sending Time — If this email campaign requires prolonged automated sending, you can set the end time. Note that if the end time is set too early while emails are still being sent, this may prevent the system from completing all email deliveries.
    • Daily Period Start — If this email campaign requires prolonged automated sending, you can set the daily start time.
    • Daily Period End — If this email campaign requires prolonged automated sending, you can set the daily end time. Note that if the end time is set too early while emails are still being sent, this may result in incomplete email deliveries for the day.
    • Week date allowed — If the email campaign is ongoing or recurring, you can specify which days are allowed for sending.

    Report

    • Summary:A summary report of the entire email campaign, including the number of opens, clicks, and bounces.
    • Open Rate Report:The total number of opens for the email campaign.
    • Open Device Report:Information on which devices/systems recipients used to open the email.^
    • Click Rate Report:Displays the number of clicks for each link.
    • Raw Data (Recipient):View the status of each recipient's reception of the email.
    • Raw Data (Click Rate):View the click status for each recipient.

    ^ This data is for reference only. After opening the email, certain devices or systems may not report the device type due to privacy settings in the email application.

    可以輸入以下內容:

    • 進階:電郵合併的其他欄位,如欄位1、日子欄位1、數字欄位1等;
    • 統計:顯示數據上的資訊,如點擊率、打開率、是否已退出訂閱等。

    收件人類別

    你可以在收件人類別設定新類別,以方便管理所有收件人。

    以下為欄位解釋:

    • 類別名稱:名稱
    • 有效以件人數量:即多少收件人屬於這個類別,依然有效
    • 無效收件人數量:即多少收件人被列入為這個類別,但已退出訂閱/電郵無效

    The SendPromotion.Email system provides unlimited recipient imports. You can use CSV for the import. After importing, you can also export recipient information as needed.

    Recipient Database

    In the recipient database, you can edit the details to use different fields for customizing mail merges in your email campaigns.

    You can enter the following content:

    • General: Such as email address, salutation, first name, etc.
    • Advance: Other fields for mail merges, such as Field 1, Date Field 1, Number Field 1, etc.
    • Statistic: Information on metrics such as click rates, open rates, and unsubscribe status (Is Unsubscribe?).

    Recipient Database

    You can set up new categories for recipients to facilitate the management of all recipients.

    Here are the explanations for the fields:

    • Category Name: The name of the category.
    • Valid Recipient: The number of recipients that belong to this category and are still active.
    • Invalid Recipient: The number of recipients listed in this category who have unsubscribed or have invalid email addresses.

    SendPromotion.Email 允許使用者以手動新增收件人,亦允許以CSV大量匯入收件人。以下是匯入收件人一些注意事項。

    SendPromotion.Email allows users to manually add recipients as well as to import recipients in bulk using CSV. Here are some important notes regarding recipient import.

    注意事項 Note

    1. 到收件人管理,並點按「匯入」後,會到達上傳CSV的頁面。可下載相關範本作參考。

    1. Go to the recipient management section and click on "Import." This will take you to the page for uploading a CSV file. You can download the relevant template for reference.

     

    注意:每次匯入上限為99,999封電郵地址.如每次匯入的超出上限,系統會認為是垃圾郵件匯入。如需要大量匯入,請與我們的支援團隊聯絡。

    Note: The maximum limit for each import is 99,999 email addresses. If the CSV file' email addresses exceeds this maximum, the system may consider it as SPAM import. Please contact for our support team for more information if you wish to apply an extensive import of the email addresses.

    2. 範本會有齊各項欄位的名稱,可以按照你需要的欄位增加。如電郵 (Email)、firstname、數字欄位1等。

    注: 因為匯入的是按CSV格式,如你沒有需要匯入其他欄位,可將其他欄位清空,以免匯入多餘的資料至系統。例: 假設C欄為category,如沒有需要,可以刪除此欄位。如該欄位仍然存在,代表你需要系統匯入。如欄位的其他列沒有輸入內容,系統會預設為空白內容。例,如保留E欄為First Name,但列3沒有輸入,E3即為空白,系統便會匯入「空白」的last name.

    2. The template will include all field names, and you can add additional fields as needed, such as Email, First Name, Number Field 1, etc.

    Note: Since the import is done in CSV format, if you do not need to import certain fields, you can clear those fields to avoid importing unnecessary data into the system. For example, if column C represents a category and you don’t need it, you can delete that column. If the column remains, it indicates that you want the system to import it. If other rows in that column are empty, the system will treat them as blank. For instance, if you keep column E for First Name but leave row 3 empty, E3 will be blank, and the system will import a "blank" Last Name.

    3. 匯入後,系統會顯示相關欄位是否對應系統內的欄位名稱,匯入前請先檢查是否正確。如使用範本並沒有更改A列,系統可直接辯認相關欄位。

    3. After the import, the system will display whether the relevant fields correspond to the field names within the system. Please check for accuracy before completing the import. If you use the template without changing column A, the system can automatically recognize the corresponding fields.

    4. 匯入後,系統會在後台運行相關匯入資料。匯入時,系統會彈出灰色等待畫面。請放心,系統匯入後會顯示相關匯入成功及失敗的電郵數量。

    4. After the import, the system will process the relevant data in the background. During the import, a gray loading screen will appear. Rest assured, once the import is complete, the system will display the number of emails that were successfully imported as well as those that failed.

    以下是匯入電郵時可能遇上的錯誤訊息:

    • 沒有正確的電郵格式:系統無法辦認相關電郵格式,導致系統無法匯入。

    Here are the possible error messages you may encounter when importing emails:

    • Invalid Email Format: The system cannot recognize the relevant email format, resulting in a failure to import.
    • The number of imported entries differs from the successfully displayed number: the system skips email addresses that are not in the correct format, resulting in a discrepancy with the import file.
    • "Email list is being imported in the background, and you can check the progress after the import": This indicates that the email CSV could not pass the system checks. Please contact our support team.
    • Gray loading screen is unresponsive / Unable to re-enter the system: This means that the number of emails being processed is large; please be patient.
    • Other Error Messages: Please contact the support team for assistance.

    Most email providers now use the DMARC standard to handle email bounces (such as when a mailbox is full, the email address does not exist, or the recipient only opens whitelisted emails). DMARC helps reduce the amount of spam and fraudulent emails, but it can also affect the accurate calculation of email bounce rates.

    SendPromotion.Email requires a setup of Sender Policy Framework (SPF), an email authentication technique that is used against email spoofing.  
    As SPF is one of the email authentication techniques on which DMARC is based. The email validation system DMARC creates a link between SPF and DKIM, which use the result of the SPF checks and adds a check on the alignment of the domains to determine its results.Properly setup SPF record will improve the deliverability through using our service on behalf of your domain:

    1.  Access your DNS Manager

    3. Setup TXT record (a domain’s DNS), which authorized hostnames/ IP addresses that are permitted to send email behalf of your domain
    4. Please input ip4:152.104.9.2/25 to your domain’s TXT record

    6. Save your TXT record, then check with 3rd party tools

    The SendPromotion.Email system AI will regularly check sending status, the emails imported from CSV files, and unsubscribe rates. If there are violations of relevant regulations, some functions may be temporarily suspended.

     

    When SendPromotion.Email disables certain features of your account (such as sending or importing capabilities), a suspension occurs. The account remains active, meaning features like creating/editing EDM designs, registering recipients, API requests, and others will still function. In rare cases, the account may be completely suspended, including login functionality.

     

    Why Did This Happen?
    Internet Service Providers (ISPs) and anti-spam organizations closely monitor the sending status of SendPromotion.Email. If they detect a high rate of negative responses to emails, they may block emails from SendPromotion.Email from reaching their users. To protect the sending reputation of all SendPromotion.Email users, the system regularly checks for negative email or import results and may issue a suspension notice when necessary.
